Choose the route from the packed order, not the product photo

Bulk event lanyards are light, but badge holders, individual bags, inserts and cartons add volume. Freight carriers may charge the higher of actual weight and volumetric weight. A quotation made before the packing method is final is therefore an estimate.

How packing changes freight cost

Bulk bundles usually use less space than individual retail bags. Badge-holder kits may need protection so clear sleeves do not scratch or bend. Role-sorted packs can speed event registration but require labels and sometimes more inner packaging. The lowest-volume packing is not always the most operationally efficient.

Ask for the proposed pieces per bag, pieces per carton, carton count, gross weight, net weight and outer dimensions. For a repeat program, save the final packing record so the next freight estimate has a better starting point.

Actual weight and volumetric weight

Courier and air carriers calculate volumetric weight from carton dimensions using their own divisor. If a large carton contains very light goods, the volumetric figure can be higher than the scale weight. Compressing loose straps, choosing sensible carton sizes and avoiding unnecessary empty badge-holder packaging can reduce chargeable volume without damaging the goods.

Do not optimize only for freight: over-compressed cartons can crease printed straps or damage holders. Packing must protect the approved appearance and still fit the receiving team's workflow.

Incoterms and landed-cost comparison

An EXW product price is not a delivered budget. Depending on the agreed term, the buyer may still need pickup, export declaration, origin handling, main freight, insurance, customs brokerage, duty, import tax and final delivery. Ask every supplier or forwarder to list inclusions and exclusions.

If one quotation is EXW and another is delivered, normalize them before choosing. The lowest visible product price can become the higher landed price after fragmented fees. Equally, a delivered option can cost more but reduce coordination risk for a time-sensitive event.

Customs and shipping documents

Commercial shipments normally require accurate product descriptions, quantities and values on the invoice and packing list. The importer or broker determines local classification, duty and tax treatment. Confirm the importer of record and document requirements before dispatch; the manufacturer should not guess the destination country's legal treatment.

Build logistics into the production schedule

The safest plan includes artwork approval, sample decision, bulk production, inspection, packing, freight booking, export handling, transit, customs, final delivery and event receiving. Peak seasons, public holidays, weather and customs checks can add uncertainty, so fixed-date programs need contingency.
